How to Make a Complaint

Complaints may be made by:

●Telephone

 Complaints should include:
●Your name and contact details.
●Details of your concern.
●Any relevant dates or supporting information.

Acknowledging Complaints

We will acknowledge receipt of your complaint within 30 calendar days. Our acknowledgement will include:
●Confirmation that your complaint has been received.
●The name of the person handling it.
●An explanation of what will happen next.

Investigating the Complaint

We will:
●Review all relevant information.
●Speak to any staff involved where necessary.
●Make any appropriate enquiries.
●Keep you informed if our investigation is taking longer than expected.

We aim to resolve complaints as quickly as possible and without undue delay.

Outcome

Once our investigation is complete, we will write to you explaining:
●Our findings.
●Any action we have taken.
●Any steps we will take to prevent similar issues occurring.

If You Are Not Satisfied

If you remain unhappy after receiving our response, you have the right to complain to the Information Commissioner’s Office (ICO).

Recording complaints

We keep a confidential record of all data protection complaints, including:
●Date received.
●Date acknowledged.
●Nature of the complaint.
●Actions taken.
●Outcome.
●Date closed.

Complaint records are retained in accordance with our retention policy.

Learning from Complaints

Where appropriate, we will review complaints to identify improvements to our policies, procedures and staff training.
